Terms and Conditions

Deposits and Payments
A $200 deposit per person is required at the time of booking. Any theater, event tickets, or instant purchase airlines tickets must also be pre-paid and are not refundable. Final payment is due 30 days prior to arrival. For bookings made within 30 days, full payment is due upon confirmation. You may pay by check, money order, American Express, Visa or MasterCard.

Cancellations
The cancellation schedule is as follows:
More than 30 days prior to departure: $150 handling fee.
30 days – 15 days prior to arrival: 50% of tour cost
14 days to 7 days prior to arrival: 75% of tour cost.
Less than 7 days: 100% of tour cost.
There is no refund for any theater, event tickets, or instant purchase airlines tickets, which must be pre-paid.

Planning Cost
Depending on the complexity of your request, Beyond Times Square may add a planning fee of $200, or $50 per person if there are 4 people or more. When all passengers book, the planning fee will be applied to the final invoice.

Late booking fee
If you book your trip less than 14 days prior to the arrival date, there will be a service charge of $25 per person.

Change Fees
After arrangements have been made and confirmed, a $25 rebooking fee will apply for any changes. Please note, certain tickets are non-refundable and non-transferable, including theater, event tickets, or instant purchase airline tickets. While some airline tickets are changeable, there may be additional costs and fees levied by the airlines.

Rates
All prices are computed as of January 1, 2006 and are subject to change. Any custom options rate can change until it is paid in full. There are special rates at some hotels for children under 18. Please inquire for details.

Hotel and Meal Taxes
Both hotel and meals taxes are included in the pricing provided unless stated otherwise.

Hotel Check-in and Check-out
Check-in time at New York City hotels is usually 3:00pm and the standard check-out is between 11:00am and noon. This may vary one hour either way at some properties. Most hotels have luggage storage facilities. Upon check-in, you will be asked for a credit card for incidentals such as phone costs, minibar or other items that are not included.

Special Requests
Please advise the staff of Beyond Times Square if you have any special needs or requests. Upon receipt of your deposit, you will be provided with a personal profile, which you should use to indicate any special needs (health or food preferences), along with any other requests. Please complete and return this form to Beyond Times Square as soon as possible so we can do our best to accommodate your requests.

Travel Insurance
Beyond Times Square offers a comprehensive travel insurance plan. It covers trip cancellation for covered reasons, baggage loss and trip delay. Please click here for more information.

Baggage
We include the porterage of one bag per person.

Trip Documentation
Upon receipt of your deposit, Beyond Times Square will send you a confirmation packet. It will include useful information about your trip, a reading list, movie list, clothing outfitter catalog, insurance information, your invoice and additional information. Once final payment is made, you will receive your final documents 21 days prior to your arrival in New York City. These documents include your itinerary, any event tickets you paid for, hotel vouchers, $6 metrocard, a citypass, and other information about New York City. Any airline tickets you purchased through Beyond Times Square also will be included as paper tickets. When you receive your documents, please check them for accuracy.

Responsibilities
Beyond Times Square (BTSQ) acts only as an agent in securing hotels, transportation and other travel services, and in no event shall BTSQ be liable in the event of any failure by any person or company to render any transportation, lodging or other travel service to be provided on the trip. All hotels, transportation and other travel services are provided to trip members subject to all the terms and conditions under which they are offered to the public generally. Neither BTSQ, nor its agents, employees, or any other hires shall be liable for any personal injury, property loss or other damage to any trip member sustained on the trip, whether arising out of or incident to the trip or otherwise. No refund will be made for any unused portion of the tour. Baggage is at the risk of the passenger. BTSQ reserves the right to decline to accept any person as a member of a program. Please note, all itineraries and guides are subject to change—although we do our best to prevent these changes. All information is correct at the time of publishing.
